A Travel Concierge for Tech Workers: Why Biirdee Is Built the Way You Work
Biirdee is built around how engineers, founders and their assistants already work: one thread, written quotes with real numbers, and no booking fee on concierge bookings.
By Biirdee Team · September 11, 2026

Most travel agencies want to get you on a call. Biirdee wants a message with a route, dates and a cabin in it, and sends back a quote with real numbers. That single difference is most of the argument for a travel concierge for tech workers, and it deserves to be made with specifics rather than adjectives.
Underneath the service is a search problem. The same seat can sell as a published fare, as a contracted fare under a private wholesale agreement, or as an award priced by any of several loyalty programs, and those three prices are often far apart. You can solve that yourself. Many people reading this can solve it faster than average. The real question is whether it is worth your Saturday, and whether the desk doing it instead holds contracts you cannot see from a search box.
What follows is how Biirdee works, step by step: what it costs, what the optimization looks like, how it sits alongside an executive assistant, and where it is the wrong tool. Prices and program rules are current as of September 2026 and will change, so treat every figure as a benchmark to check. For the general version of the job, our post on what a travel concierge actually does covers the service end to end.
Start With the Search Problem, Not the Service
Airlines sell the same cabin through more than one channel on purpose. Published fares set the public price and protect it. Consolidator contracts are private wholesale agreements that move volume without resetting that public price, which is why a contracted seat can price well below the airline's own site while remaining the same seat, the same ticket stock and the same reservation in the airline's system. Award inventory is a third channel, priced in miles, released and withdrawn by algorithm, and often bookable through a partner program at a number the operating airline would never quote you.
Biirdee holds consolidator contracts with major long-haul carriers, prices every trip against award inventory as well, and negotiates rates with more than 45 major carriers. The site puts the result at typically 30 to 70 percent below published fares in business and first. That is a range, not a promise, and its honest counterpart lives in the fare rules: contracted fares are usually tighter than the flexible published fares they undercut. The reason this matters to an engineer is not the discount. It is that the problem has a structure, the structure is learnable, and the search is the expensive part.
How the Process Actually Runs
As of September 2026 the site describes four steps, plus one thing that happens after you pay.
- Tell us the trip. Route, dates, cabin, and whatever else it needs: a hotel, a car, a greeter. The form takes under a minute and a single WhatsApp message does the same job. No call to sit through, no card required to ask.
- We hunt the fare. Your agent works consolidator contracts, award inventory and points programs by hand, for your specific routing. This is the part that is neither automated nor visible from a public search.
- You review options in writing. Cash, points, or a combination of both, with alternative dates, routing variants and the loyalty consequences of each.
- You book, or you do not. A full quote typically lands in 30 to 60 minutes and always within 24 hours. Quotes are free and carry no obligation, the itinerary and fare rules and total price are in writing before you pay, and the price quoted is the price you pay.
- Then the desk owns it. Within a day of paying you hold a 13-digit e-ticket number that resolves on the airline's own site when you enter the record locator. After that the desk owns seats, meals, frequent flyer numbers, lounge access, changes, refunds and rebooking after a cancellation, including outside business hours.
Two notes on speed. During business hours the average first reply on WhatsApp is under four minutes, and a complex multi-city or private jet request takes longer to price than a single city pair. It also pays to ask leg by leg rather than as one block, because booking in pieces gives the desk more strategies to use. Full step detail sits on how it works.
The Pricing Model, Stated Plainly
There are three prices on the site, and only one of them is zero. As of September 2026:
- Concierge bookings carry no booking fee. Quotes are free and no membership is required. The agency earns inside the fare spread: the airline contract gives it a net rate, and the margin sits inside the discounted fare you are quoted rather than on top of it. Hotels work the same way, with the commission paid by the property out of the rate you would have paid anyway.
- Biirdee Pro is $100 a month or $1,000 a year. Net rates rather than the standard agency rate, unlimited priority fare checks, price-drop monitoring that rebooks after you have already booked, one dedicated concierge, and a 30-minute points consultation every month. Month to month or annual, cancel whenever.
- A single consultation is $125. Thirty minutes with a points specialist plus follow-up support, aimed at people holding 100,000 or more points across one or more programs. It is never a prerequisite for a quote. Details sit on the consultation page.
- Private charter is priced differently. As of September 2026 the trip form puts private charters from $10,000, while the private jets page prices light jets from $15,000 for short flights and long-range international jets from $50,000 to $150,000 and up. Aircraft are arranged through an operator network rather than a Biirdee fleet, with a deposit to hold the aircraft and full payment before departure.
- Payment is flexible. Bank transfer is preferred and recommended above $10,000 to avoid card processing fees, and credit card, Zelle and crypto are accepted. Credit card points or airline miles can cover part or all of a total, depending on the booking.
The trade-off is stated rather than buried. Because the fare exists under the agency's contract, changes, cancellations and refunds route through Biirdee rather than the airline's app, and contracted fares typically carry change fees, restricted refundability and sometimes reduced mileage earning by booking class. Every quote names those terms before you pay. Biirdee Inc. is a registered California Seller of Travel, registration number C4549960, and registration as a seller of travel in California does not constitute the state's approval, based in Burlingame.
What the Optimization Actually Looks Like
Four levers do most of the work, and none of them are visible from a metasearch box.
- Points transfers. A balance is not a price. The same 100,000 transferable points settle into a mediocre redemption or an excellent one depending on which partner program receives them, and transfers are one-way and effectively irreversible. Our guide to leveraging Amex, Chase and Capital One walks the ratios.
- Partner awards. You can often book one airline's seat using a different program's miles, at a different price, with different surcharges. That is the most common reason two people in the same cabin paid wildly different numbers. How to use another airline's miles program is the mechanics.
- Unpublished fares. Consolidator pricing is its own channel with its own rules, and how consolidator pricing works explains why airlines release it at all.
- Cash and points, side by side. Two worked examples from our own pages, on two different trips. Our guide to unpublished fares runs a $7,000 published fare quoted at $3,800. Separately, how to use your airline miles most effectively prices an award at 87,500 miles plus $180 for a seat selling at $4,120 in cash, about 4.5 cents a mile. On your route the desk runs both numbers against each other, and the comparison is the answer rather than either number alone.
- Speed inside 14 days. Short-notice premium seats are where the gap between channels is widest, because last-seat contracted pricing and award space behave nothing like the published fare curve. Our guide to last-minute business class covers what moves the price inside two weeks.
One honesty check. Savings vary by route, season and availability, and 30 to 70 percent is a range rather than a number to count on for your city pair. When the desk cannot beat the published fare, the answer is that it cannot, and you book direct.
Working With an Executive Assistant, Not Around One
Nothing here assumes you are the one typing. A thread is a thread, so an assistant or chief of staff can hold it, forward it and act on it without a handoff ritual. A quote arrives as a written itinerary with fare rules and a total, which is the artifact an EA needs to get an approval from you in one message rather than a meeting.
Three details matter for that workflow. The thread carries its own history, so preferences accumulate instead of being re-explained: the aisle seat, the dietary restriction, the airline you will not fly. Pro members get one named concierge every time. Flights, hotels and ground transport run through one channel, with meet and greet at 30 major airports and chauffeur coverage in more than 100 cities. And post-booking servicing belongs to the desk, so nobody on your team spends an evening on hold with an airline.
As Alvin Lam, senior director of people operations at RingCentral, puts it on our reviews page, Biirdee has helped their executives book last minute flights with savings typically around 50 percent or more. For groups, the desk handles event logistics at scale, from Fashion Week to the World Cup and Cannes. The honest limit: if you administer hundreds of travelers with policy controls and a booking portal, an enterprise travel management company is the right tool, and we will tell you so.
Who This Fits, and What Changes by Situation
The service is identical for everyone. What changes is which part of it is load-bearing.
The Individual Contributor With New Liquidity
If your equity turned into cash recently, the thing that changed is not your ability to buy a business class seat. It is that you hold a points balance that accumulated for years with no plan attached, and a calendar that is still full. The $125 consultation is built for that shape: thirty minutes, a review of what you hold, and a strategy for the trips already booked. It is aimed at balances above 100,000 points across one or more programs.
The backdrop is unusually active. SpaceX priced the largest IPO on record at $135 a share on June 11, 2026, as TechCrunch reported, and company-run tender offers have become a routine way for private-company staff to sell. Our 2026 facts post catalogs what happened, and how to travel after a liquidity event is the practical follow-on.
The Founder or Executive Already in Motion
If you fly constantly, the savings matter less than the failure modes. What you are buying is a desk that monitors your flights, handles the reprotection when a cancellation lands at 11pm, and keeps one thread for flights, hotels and cars so a schedule change does not become four phone calls. Round-the-clock support and flight monitoring are included on concierge bookings.
Name the trade-off, though. Routing changes through an agency is better when something breaks and slower when you want to swap a seat yourself at the gate. If you work in the air, working from 40,000 feet covers the cabin half of the question.
The Person Between Jobs, With Time to Spend
Flexibility is the most valuable input in this process, and you finally have it. Award space and contracted fares both reward moving a departure by two days far more than they reward status. A request that says sometime in the first half of March, Tokyo, flexible on routing gives a desk more to work with than a fixed Tuesday. Ask leg by leg, and expect a longer conversation for a better number.
One caution here. If the route is domestic, the cabin is economy and the fare is already low, book it yourself. Biirdee's trip form warns that it may have limited or no availability for US domestic flights and economy class, and the honest answer is to keep it simple.
What Biirdee Does Not Do
Four limits worth knowing before you send a request.
- No guaranteed number on your route. Typically 30 to 70 percent below published is a range, and up to 70 percent is a ceiling rather than an expectation.
- No domestic or economy specialty. The trip form says it outright, and the right move for those tickets is to book direct.
- No secret rate at Aman or Four Seasons. At the strict-parity brands, no reputable channel undercuts the hotel's own site. The win attaches to the same rate: upgrade priority, daily breakfast, early check-in and late check-out where available, and property credits. Upgrades are priority, not promises. Our guide to booking luxury hotels for less is clear about which brands this applies to.
- No aircraft. Charter is arranged through an operator network of more than 7,000 aircraft, with as little as four hours' notice. Biirdee does not own or operate a fleet.
Booking Yourself, a Card Portal, or a Traditional Agency
Three comparisons, because the answer is not always us.
- Booking yourself. Best when the route is simple, the dates are fixed and the published fare is already close to what you would pay anyway. You keep direct control of changes through the airline's app and you earn normally. What you do not get is contracted inventory or a cross-program award comparison, which is the slow part to do by hand. Our guide on whether to use a travel agent includes the cases where the answer is no.
- A card travel portal. Fast, integrated with the balance you already hold, and it spends points at a fixed rate the issuer sets. That rate is a ceiling by design. Transferring the same points to the right partner program frequently beats it, and the portal is structurally unable to run that comparison for you.
- A traditional agency. Usually a scheduled call, a planning fee or a markup, and a curated itinerary you approve at the end. The differences are the channel and the money: chat first, a written quote before any commitment, and no booking fee on concierge bookings.
The pattern holds across all three. The more constrained the trip, the less any desk can do for you. The more flexible the dates and the further forward the cabin, the more that gap is worth someone else's afternoon.
Frequently Asked Questions
- What does it cost to get a quote? Nothing. Quotes are free, no membership is required and no card is taken to ask. Concierge bookings carry no booking fee, because the agency earns inside the fare spread rather than charging you on top of it.
- How fast does someone actually reply? A full quote usually lands in 30 to 60 minutes and always within 24 hours. During business hours the average first reply on WhatsApp is under four minutes. Complex multi-city itineraries and private jet requests take longer to price.
- What happens when a flight cancels at midnight? The desk handles it. Flight monitoring and round-the-clock support are included on concierge bookings, and rebooking runs through Biirdee rather than an airline call center. The trade-off is the same mechanism: voluntary changes also route through the desk rather than the airline's app.
- Can my assistant run this instead of me? Yes, and many do. One thread means an EA or chief of staff can hold the conversation, collect the written quote and bring you a single decision rather than a calendar hold.
